About the Role:

WorkPac are currently seeking an experienced Executive Assistant to join the Global Major Projects team based in Perth. Reporting to the Head of Projects, you will be responsible for directly providing high level administrative support for the head of Projects, office of the Head of Projects and indirectly, the wider Projects Senior Leadership Team. The role is located at Rio Tinto, Central Park Perth offering a Monday to Friday roster. This is for a 12-month duration, with the possibility of extension.

Key Responsibilities will include:

  • Provide a high level of administrative and secretarial support directly to the Head of Projects and the team with the management of their day-to-day activities as required.

  • Participate as a leader within the senior leadership team, expressing the values of care, courage and curiosity.

  • Arranging and coordinating extensive business travel commitments including international travel and itinerary management.

  • Actively manage and prioritise diary and email together with call screening and visitor assistance.

  • Coordinate and organise business and team meetings and events, room bookings and outlook invites.

  • Produce presentations, reports, meeting agendas, taking notes when required.

  • Monitor, track and action tasks, escalating and delegating where appropriate.

  • Lead and assist in project-based workflow where required and be the go-to person for extended team.

  • Manage end to end service requests for stakeholders (e.g. RTTMS tickets)

Skills & Experience Required:

  • Be detail oriented, resilient and known for integrity

  • Flexible, resourceful, and a proactive independent thinker who is always one step ahead of the needs of their team.

  • Excellent interpersonal and communication skills used to build rapport and strong working relationships, whilst always maintaining confidentiality.

  • Confident decision maker with an ability to think under pressure and display good judgement

  • Actively seeks and shares business improvement opportunities

  • Be a great team member, supporting and challenging others regardless of level or role.

  • High level computer literacy and proficient in the Microsoft Office suite of applications

  • Current C class drivers licence
