About the Role:

WorkPac are seeking a for our client a Mobilisation Administrator. This position offers a Monday to Friday roster, located in Henderson.

Duties and Responsibilities:

  • Document Management: Maintain accurate and up-to-date records of personnel documents, including contracts, certifications, visas, and permits.

  • Onboarding Support: Assist in the onboarding process for new personnel by providing necessary documentation, information, and guidance.

  • Communication: Serve as a central point of contact for mobilization-related inquiries, both internally and externally, and ensure timely and clear communication with stakeholders.

  • Logistics Coordination: Coordinate travel arrangements, accommodations, and other logistical requirements for mobilizing personnel, ensuring adherence to budgetary and scheduling constraints.

  • Compliance Monitoring: Monitor compliance with relevant regulations, policies, and procedures related to mobilization activities, and address any discrepancies or issues as they arise.

  • Database Management: Maintain databases and tracking systems to monitor the status of personnel mobilization, including assignment locations, durations, and other relevant details.

  • Continuous Improvement: Identify opportunities for process improvements and efficiency enhancements in mobilisation procedures and contribute to the implementation of best practices.

  • Ad Hoc Support: Provide additional support and assistance to the mobilisation team, as needed, to facilitate the successful execution of projects.

Skills and Experience:

  • Proven experience in administrative roles, preferably in a project-based or mobilisation -focused environment.

  • Strong organizational skills with a keen eye for detail and accuracy.

  • Excellent communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.

  • Proficiency in MS Office suite (Word, Excel, PowerPoint) and experience with database management systems.

  • Ability to work under pressure and prioritize tasks in a dynamic, fast-paced environment.

  • Familiarity with relevant regulations and compliance requirements related to mobilization activities is a plus.

  • Proactive attitude with a willingness to take initiative and drive process improvements.

  • Team player with the ability to collaborate effectively with cross-functional teams.
